Why your condo charges $150 for a fob that costs $20 to copy

Building fob fees are set by the management office, not by the technology. Here is what actually goes into a replacement fob and what your rights are.

A blank proximity fob costs a building a couple of dollars in bulk. Programming it into the access system takes a property manager under a minute. Yet replacement fees across the GTA routinely land between $100 and $400.

Where the number comes from

Some of it is genuine administrative cost — someone has to verify you are a resident, enter the credential, and keep the register accurate. Some of it is deliberate deterrence, because a building that loses track of who holds working credentials has a real security problem.

And a good deal of it is simply that the fee was set years ago at a round number and nobody has revisited it.

Copying versus registering

This is the distinction that matters, and it is where most confusion lives.

A copy reproduces the credential data onto a new blank. The access system sees the same number it already knows. It works immediately, and the building's database does not change.

A registration adds a brand-new credential to the building's system. Only management can do this. It is what you are paying for when the building charges you.

A copy is what you want when you need a spare for a partner, a cleaner, or a backup for yourself. Registration is what you need if the building has deactivated your old fob after reporting it lost.

Check your agreement first

Some condo declarations and leases restrict duplication, and some buildings ask residents to register every credential in circulation. Those rules are worth reading before you order a spare. We ask every customer to confirm they are the authorized holder of the credential, and we will not duplicate a fob for someone who is not.

What a copy actually costs

At our Toronto and Mississauga locations a standard 125 kHz condo fob is $20, high-frequency MIFARE is $35, and encrypted credentials run higher because of the equipment involved. Every copy carries a one-year warranty. If your building's fee felt steep, that gap is the reason people come to us.
